Date format that office accounts accept

20 May 2025 I sold 10 calculators and 4 power banks to a sugar mill office near Bharatpur.

They wanted a bill. I made simple invoice. Date I typed 5/6/25 because I was thinking 5 June in my head, then I thought today is May, my finger already typed.

I don't even know what I typed. Mix.

Their Tally uncle read 5/6/25 as 6 May 2025. American style. Month first.

My sale was 20 May. Their books said 6 May. Stock vs date, payment sitting.

Three weeks. I called. They said date problem. Bill not in this month correctly. Manager on leave. Classic.

They passed it. Payment came. I learned.

Now I don't write 5/6/25 on any paper that leave the shop.

Offices in Bharatpur, Jaipur, even small coaching, they put bills in software. Software guess. Guess wrong.

I write DD-MM-YYYY. 20-05-2025.

If the field is short, 20/05/2025. Still day first, month second, four digit year.

Not 20 May without year. Not 20th. Not 5.6.25 with dots like Europe.

One format. I stick.

BillOnDesk is not GSTN. The date I type is my date. Site don't lock Indian format maybe. I must type like Indian office want.

I ask the purchase boy, you people want 20-05-2025?

Most say yes. Some say 20/05/2025. Both okay. Slash or dash, I don't fight.

What I don't do. 05/20/2025. That is their American cousin. Mill software once flipped.

I also don't back date.

They asked, put 30 April, our budget.

I said no. Sale is 20 May. Date is 20 May.

Their budget is their CA problem. My paper is my date.

If I back date, my own month total lie. I don't lie for a mill.

February 2026 I updated after a school bill.

A school in Deeg wanted bill dated 31 March for a April purchase. Year close trick.

I refused. I wrote actual April date. They delayed pay. I waited. Better wait than a story date.

Story date is how notices start. I am not a tax teacher. I am scared enough.

Time. Some people write 20-05-2025 4pm. I don't. Date is enough. Time on invoice look like courier slip.

Valid till on quotation is a date also. I write 31-05-2025, not end of May.

End of May is poetry. Software need a day.

On quotation maker valid till I fill a real day.

On rent receipt, month name plus date of receiving. May 2025, received 05-05-2025.

Two different dates. Month of rent, day of cash. Don't mix.

I mixed once. Rent of June, date 05-05 because I copied previous. Tenant HR confused. I reprinted.

Copy paste of date is dangerous. Change the day.

Handwritten 7 and 1. My 7 look like 1. Office read 11 May as 17. Or reverse.

Typed date fix my handwriting. That alone is why I use the tool.

How I print the simple invoice

When I print, I look at the date first, then amount.

If date is yesterday because I left the tab open overnight, I change to today if the sale is today.

Tab open from yesterday, date stuck. Happened. Customer took yesterday bill for today sale. Small, but mill would not like.

I set date every time. Don't trust old preview.

Financial year. Some uncles want FY in the invoice number, not in the date.

Date stay calendar date. Number can be INV-25-26-018.

I use invoice number helper for that. Date still 20-05-2025.

Don't put 2024 in date when it is 2025 because you copied last year Excel.

A cousin in Dholpur did that in January. Whole month bills 2024. His CA charged extra tea and extra scolding.

I don't want that tea.

Festival dates. Diwali shop open late. Date is still the calendar. Not "Diwali bill".

I wrote Diwali-2025 as date once in a note. Fine in note. Not in the date box.

Date box is numbers.

If customer is foreign tourist, they like 20 May 2025 written in words.

I can put in item note. Header date I still do 20-05-2025 so my file sort.

Sorting. Phone folder, PDF names INV-2025-05-20-mill.pdf. ISO like. I like that for me.

On the paper, Indian office style.

Don't put two dates, invoice date and print date, if they are same. Extra date confuse helper.

If print is duplicate later, I keep original date, write duplicate and print day in note.

Original date 20-05-2025. Duplicate printed 11-02-2026.

Office then know it is same bill, not a new May in February.

The mill delayed pay three weeks because of 5/6/25. I counted. 5,800 sitting. My wholesaler wanted money.

Date format is not English class. It is cash flow.

I tell helper, if you are tired, write date with dashes and four digit year. Then items.

He wrote 20-5-25. I made him add 0 and 20-05-2025.

Zero in month look more serious to software. Maybe superstition. I still put zero.

20-05-2025. Always.

Some Google sheet they use read 20-05-2025 as text, 5/6/25 as date. They asked me for dashes. I gave dashes.

I cannot know every sheet. I can be consistent.

If they still fail, they should tell me the exact pattern. I will type that pattern. I will not guess 5/6/25 again.

Never 5/6/25. I say it in shop like a mantra. Helper laugh. Helper still almost type it.

I deleted a draft. Made new.

I file real returns with CA on official portal with correct tax period. The sale date on paper should sit in the right month in my head.

If paper say May, I put in May list. If I write wrong date, my list is wrong.

Simple.

Bharatpur mill now send me a WhatsApp, date dd-mm-yyyy please, every time, like I am a child.

I am a child in dates. I accept. I type 20-05-2025.

Payment come faster than three weeks. That is the only exam I passed.
