I closed the tab, invoice gone

May. Hot. Fan on my head making noise.

A contractor from Sitapura came with a list. Twelve items. Screens, batteries, two chargers, glasses, one speaker.

He stood at the counter. He said make bill now, I will UPI.

I opened simple invoice on phone. Typing slow. He dictating from a WhatsApp note.

Line 9 I was on. Somebody called on the shop number. I picked. I put Chrome to the side.

When I came back, Chrome had a small x. I had pressed it with my ear or my cheek. Tab closed.

The form was empty. Twelve lines. Gone.

I closed the tab, what actually happened

This site has no login. No account. Drafts live in the browser. Privacy page say that. I knew. I still lived like the paper was sitting in the sky waiting.

It was not waiting. It was dead.

Contractor looked at me. I looked at the white page. I said, one minute.

I wanted to throw the phone.

I typed again. Faster. I made mistakes. Qty 2 became qty 22 on batteries. Preview saved me that time. Total crazy. I fixed.

I downloaded PDF before I even took UPI. Then I sent PDF to my own WhatsApp. Then to him. Then I took money.

That evening I wrote on a sticker and stuck near the counter. Download first.

Why this happen to small shops.

We fill on phone. We switch to PhonePe. We switch to WhatsApp. Android kill the tab. Or we close by mistake. Or power cut, shop computer restart.

BillOnDesk is not a cloud company storing your invoice. That is the point. No account. Nobody in a server reading your buyer names.

Also the pain. If you don't download, you don't have it.

August I updated my steps. I follow them like tea in morning.

I fill the form.

I check preview.

I download PDF.

I send PDF to myself on WhatsApp. Starred.

I print if needed.

I take payment.

If I take payment first, then close tab, I have money and no paper. Contractor will still want paper. I will type again with half memory. Wrong.

Some people ask, why not save online.

I like that it don't save. I don't want a random site keeping Sitapura contractor GSTIN for years. I keep in WhatsApp and in a folder on the laptop. My problem. My backup.

If laptop die, WhatsApp still there. If WhatsApp logout, laptop folder. Two places. Like carbon pad used to be two copies.

I also write invoice number and total in the red notebook. If both digital die, I can remake from notebook. Remake is work. Empty memory is worse.

Chrome restore tab. Sometimes it come back. That day it didn't. Don't trust restore. Trust PDF.

How I print the simple invoice

I started naming files. INV-2026-117-sitapura.pdf. If I name all invoice.pdf, I overwrite. I did that in June. New PDF replaced old in downloads. I had already WhatsApp the old, so ok. Still I jumped.

Print from phone. If I close tab after print, some phones keep the print preview, not the form. Don't go back thinking form is there. Download.

A boy who help me on Sunday closed the laptop lid. Sleep. Form gone. He didn't know. I told him the sticker. He said, I thought it is like Gmail draft.

It is not Gmail.

Privacy is this. Your draft is your device.

I tell customers also, wait, I am downloading, don't talk one second. They talk anyway. I still download.

GST draft, quotation, challan, all same. quotation maker died on me in 2025 the same way. I had a valid till date I remembered, items I didn't. I quoted wrong qty. Customer later said rate changed, actually qty changed. Pain.

Now quotation also, PDF to me first.

Credit note same. If a return is happening, I download before I give cash. Otherwise I give cash and I forget which invoice number I linked.

Freelance cousin, I already scolded him. He close tabs like he is killing mosquitoes.

What I do if it gone.

I don't guess totals. I open notebook. I open wholesale rates. I ask customer to send the WhatsApp list again. I type. I don't say I remember 12 lines. I don't.

If customer left already, I message, please send list again, tab closed. Shame. Better shame than wrong bill.

Sitapura man, I told him the truth. He laughed. He said his office Excel also die. We became friends on that. He still checked every line on the new PDF.

BillOnDesk is not GSTN. Closing a tab don't file or unfile your tax. Your CA still need your papers. If you lost the only PDF, remake and tell CA it is remake if the number is same. I keep number in notebook so I don't issue two 117 with different totals. That is a mess.

If I remake, I use same number only if I am sure no PDF of 117 already went with other amount. Sitapura, first PDF never went. So 117 ok.

If a PDF already went, and I remake because I closed tab after send, I should still have the sent WhatsApp. I don't remake a new total with old number.

This sound like CA talk. It is only shop talk. Don't have two papers with one number.

Power cut habit. Small UPS on the computer now. Phone has battery. Phone is better for form, computer for print. I fill phone, download, mail to myself, print from computer. Extra step. Less death.

People google invoice gone. They think virus. It is just a tab.

Don't fight the privacy of no-login. It is good. It is also a trap for lazy thumbs.

I still close tabs by cheek sometimes. I am human. The sticker is for that human.

One Sunday the boy who help me took a screenshot of the preview, not the PDF. Screenshot cut the last two lines. Customer later said speaker missing on bill. Screenshot is not a bill. PDF is a bill. I told him, download button, not volume button.

Contractor came again in August for one speaker. One line. I still downloaded before UPI. Habit.

The twelve line day I remember more than the money. Money was normal. The empty page I remember.

Don't wait for that page. Press download while the customer is still talking. Let the PDF sit in downloads. Then you can close every tab in Rajasthan.
