Amount in words going wrong on the bill

December 2023, mama shop in Bikaner again. Cold morning, hot tea.

A customer bought a phone 14,250. Some exchange, some cash, some UPI. Final 14,250.

I made a draft bill. Number was correct. 14250.

Amount in words I typed myself. Rupees four thousand two hundred fifty only.

I missed the four of fourteen. My brain saw 4,250 from the exchange talk.

He didn't say anything in the shop. He paid 14,250. He left.

Evening he WhatsApp. Bill say four thousand. I will pay only that. Rest you wrote wrong, your problem.

I felt the floor move.

Mama said, number is 14250, words are decoration.

Customer said, in my company words win when there is fight.

I don't know court. I know I made a mistake.

I said I will send a corrected draft. He said he already gave old paper to his office.

Two days of calls. Finally he agreed, because UPI was 10,000 and cash 4,250, his own PhonePe showed he paid more than four thousand.

Still, I looked like a man who cannot write rupees.

Amount in words going wrong on the bill, what actually happened

I started using rupees in words after that.

I type 14250. It give Indian style. Fourteen thousand two hundred fifty rupees.

I copy paste to the bill. I don't type from memory when I am cold or busy.

April 2026 I still do that. I don't trust my English on numbers.

Fourteen and forty. Four and fourteen. Seventy and seventeen. These are the traps.

A Jaipur lady bill was 17,080. I wrote seventy thousand in a hurry because 17 looked like 70 in my head.

She laughed, she didn't cheat. She said correct it. I corrected. I still felt fool.

Indian comma. 14,250 is fourteen thousand. If I write 1,42,50 my brain die.

I use the tool, Indian rupees words, not US million style.

Paise. If 14,250.50 I need words with paise. If I write only fourteen thousand two hundred fifty, the 50 paise vanish.

Most my bills I round. If paise there, I run the number as is.

Don't write rupees fourteen thousand two hundred fifty only when the number is 14,250 plus GST already in the grand. Words must match grand total, not the taxable.

That was another mistake in Sikar. Words on 8999, grand was 10619. Customer pointed.

Words = the big number at bottom. The one they pay.

If round off, words after round off.

If discount, words after discount and tax.

I put the number into rupees in words only at the end, when grand is frozen.

If I do words first, then add a cover of 199, words go stale.

Stale words is how Bikaner man got a chance to argue.

I now make PDF, check three things.

Grand number. Words. UPI plus cash plus extra.

If those three not same, I don't send.

I don't write rupees in Hindi words if the bill is English, unless customer ask. Mix look messy. One bill one language for the amount line.

Customer in Udaipur asked Hindi words, English bill. I wrote both one time. Long line, print cut. Then only English words, I told him number is international, words English.

He accepted.

Don't write extra only only only. One only at end is enough. Rupees fourteen thousand two hundred fifty only.

Don't write and in a way that change meaning. Four thousand and two hundred fifty is okay. Four thousand two hundred and fifty also. Don't write four lakh by mistake.

Lakh and thousand mix. 1,42,500 is one lakh forty two thousand five hundred. I will not type that by hand if I am tired.

How I get rupees in words right

Tool.

BillOnDesk is not GSTN. Words on a draft don't file your tax. File on official portal.

But words on a draft can still start a WhatsApp fight.

So I treat them serious.

I don't fake a smaller word amount to help someone take cash out of company. That Bikaner man tried the opposite, using my error.

I don't create the error on purpose for him.

Correct the PDF. Write cancelled on old print if I can get it back. I couldn't get his office copy. I sent a mail, revised bill, reason amount in words typing error, number was always 14250.

His office finally took UPI proof.

I keep UPI proof with the bill now. Screenshot plus PDF.

Mama said, from today you do words.

I said, from today the tool do words, I only paste.

If the tool say fourteen, I still look with my eye. If I typed 1425 by miss, tool will say one thousand. Eye catch.

Garbage number in, garbage words out.

Type grand carefully.

A Kota coaching bill 92,000 something. Words long. Print went to next line, last word only cut off, became ninety two thousand. Missing the rest. Clerk asked, is it 92,000 or more.

I reduced font. Full sentence on one screen. Print okay.

Phone print is a different enemy. Words wrap, number stay. Looks like two amounts.

I check the preview zoom.

April 2026 a bulk order from a Udaipur hotel. Grand 1,18,540.

I will never type one lakh eighteen thousand five hundred forty by hand while a waiter is waiting.

I paste from rupees in words. I read it loud. Hotel man nod.

Cheque they issued, words and number. If my bill words different from cheque words, bank uncle enjoy a holiday on my time.

I also watch forty and fourteen on 40,200. Forty thousand two hundred. Not fourteen thousand two hundred. That swap is easy when you are talking in Marwari and writing in English.

Seventy seven thousand. Seventeen thousand. I say the number in Hindi first, then look at English words. If they don't feel same, I stop.

Don't write Rs in words and also INR in words on two lines that don't match.

One line. Match grand.

If cash and UPI mix, words still match the grand, not only the UPI piece. Bikaner man paid 10,000 UPI and 4,250 cash. Words must be fourteen thousand two hundred fifty, not ten thousand.

If they pay 14,250 and I write fourteen thousand two hundred fifty rupees only, I also check the rupees only is sitting after the full number, not in the middle.

If you write bills in a Rajasthan shop, amount in words is not decoration.

It is the line a clever customer will read at night.

Make it boring. Make it match.

Fourteen thousand two hundred fifty. Not four. Not forty. Not four lakh.

I still remember the tea going cold while I stared at that WhatsApp.

Never again by hand, if the number has more than four digits.

That is my rule. Simple. It works in Bikaner winter and in Jaipur summer.
