Same invoice, second copy for me

In January 2025 I sold a used Redmi in Sardarpura, Jodhpur.

Buyer was a college boy. Paid 7,400 cash. I made one print from simple invoice.

I gave him the paper. I did not print second.

I thought, I have it in the browser. Why waste A4.

He left. I closed the tab because next customer wanted a cover.

Invoice gone. Fill gone. My memory gone after two days.

Same invoice, what actually happened

Next week the boy came. Screen dead. He said warranty you told 15 days shop warranty.

I said yes, 15 days on used phone, I remember.

He said then change it.

I asked invoice. He said I lost. In hostel mess.

I had no copy. I had a notebook line, Redmi, 7400, but not IMEI fully, I wrote last four digits only.

Fight. Small fight. His friend recording on phone like a news channel.

I fixed the screen. I lost money. I also lost sleep because I looked like I was running from warranty.

I was not running. I was messy.

From that week I print two. One customer. One me.

Same number. Same items. Same total. I write COPY on my page with pen, or I print twice and put shop copy in a plastic file.

BillOnDesk is draft. Not GSTN. Still I need a paper in my drawer. CA ask. Customer ask. My own brain ask.

The tool don't keep my old bills on a company server. Browser. Tab close, story over.

So the second copy is not extra drama. It is my backup.

I tell the customer, I keep one. You keep one. If you lose, I can reprint from my file photo.

Now I also click photo of the shop copy before filing. Two backups. Paper and phone.

March 2026 I still do this. The file is fat. I like fat file.

What I write same on both.

Invoice number INV-JDH-041. Date. Shop. Buyer. Item. IMEI full now, not last four. Qty. Rate. Total.

If I change something after first print, I don't give customer new paper and keep old in file.

Then two truths. Worst thing.

I reprint both. Tear the old shop copy. Or write CANCELLED on old and staple.

I learned cancel from CA. Don't throw like it never exist if number already used.

For simple used phone sale I use simple invoice. For GST talk I use the GST draft. Same rule. Two copies.

A tourist shop near Clock Tower, they take only WhatsApp PDF. They don't want paper.

I still print shop copy. I send them PDF. My drawer has the print.

When they come after 10 days, display issue, I find INV-JDH-041 in ten seconds.

Before, I was searching WhatsApp like a fool. Chat with 40 people named Rahul.

Paper in file has a number. WhatsApp has chaos.

Second copy also help when police or market committee ask random, what did you sell.

I am small. I don't want a story. I want a page.

One uncle from Pal family bought a power bank. 1,299. He took invoice.

His son came next day. This is not the model. Exchange.

I checked shop copy. Model number matched what I wrote. The box in his hand was different. They mixed at home with cousin's power bank.

Without my copy I would have believed the son. With copy, I showed. Uncle said sorry. Brought correct box. We did exchange of the real one because charging was slow. Fine.

Paper saved the fight.

I don't make the second copy different. Some shops write lower amount on one copy. I don't.

That is a second truth. That is fraud. Not a joke.

How I print the simple invoice

Same amount. Same tax if tax is there. Same everything.

If customer want two copies for his office and his bag, that is three prints. I print three. I still keep mine.

Office copy, his copy, shop copy.

I charge nothing extra for paper. A4 is cheap. Fight is costly.

Print from phone, page cut. Happened. Footer gone, total gone on shop copy.

I check both pages before he leave. If cut, reprint.

The simple invoice preview on screen is not the print. Print can clip. Look once.

I staple shop copy in month wise. January. February. I am not a big accountant. I am a man with a stapler.

At month end CA ask few bills. I pull the file. I don't reconstruct from memory.

BillOnDesk is not my CA. I say that to helper also. Tool make the page. Books are ours.

Helper wanted to skip shop copy for sales under 500.

I said no. 199 cover also. Because 199 cover boys also come with story.

The story is, I paid 400. No you paid 199. Invoice say 199. End.

Without copy, I argue with air.

Used phones I write shop warranty line on the invoice note.

15 days hardware, no water, no fall. I write it on both copies.

If only customer paper has warranty and mine don't, later he add extra lines with pen. I seen this in a Pali shop. Cousin got trapped.

Same text both sides.

I sign both. Rubber stamp both.

If I am in a hurry, I at least stamp shop copy. Then I look like I keep record.

Signature tired on Saturday. Still I sign.

PDF download I save as INV-JDH-041.pdf in a phone folder. That is a third copy actually.

Folder fill up. I don't care. Memory is 64 GB. Peace is more.

When tab crash, PDF still there. When phone break, paper still there. When paper tear, PDF still there.

Three is not greed. Three is Jodhpur dust. Things get lost.

A girl from NLU area bought earphone. 890. She needed invoice for club expense or something.

She took one. I kept one. After two months college asked duplicate.

I printed from PDF. Same number. I wrote DUPLICATE with pen.

I don't give a new number for same sale. New number is new sale. This is same sale, extra paper.

She said thank you. I said keep this time.

College accounts are like that. They lose, they want same number again.

If I had no shop copy and no PDF, I would guess the amount. Guess is how fights start.

I don't guess.

January story of the hostel boy, I still keep that broken screen in a box as a reminder. Stupid trophy.

He came later for a cover. He paid. I printed two copies. I showed him. One for you, one for me.

He said you became systematic.

I said I became scared. Same thing.

If you run a gali shop, don't trust the tab.

Print twice. Or print once and photo, but photo of a paper that you kept, not of a paper that left with the bus to Jaipur.

The used Redmi boy went to Jaipur next month. Paper lost. I had copy. Warranty days were over by then, I showed dates. He accepted.

Dates on both copies same. 17-01-2025.

No back date on duplicate. Duplicate is extra paper, not a time machine.

I tell this to every new helper in 2 minutes.

Customer copy. Shop copy. Same. Then close tab.

If printer fail, send PDF on WhatsApp to yourself first, then to customer.

I WhatsApp my own number more than I WhatsApp my wife. That is shop life.

Simple invoice. Two papers. One sale. Sleep at night.
