Payment received on UPI, how to make a receipt

June heat in Bikaner is not a joke. I was sitting in my mama's shop on KEM Road, helping for a week.

A man bought a fast charger and a back cover. One thousand four hundred fifty.

He said cash nahi hai, UPI.

Mama UPI is on a printed QR stuck on the glass. PhonePe. Name is mama's name, not shop name. That already confuse people.

He scanned, paid 1450. Success sound. He left.

Ten minutes later he came back. His office need receipt. They will reimburse travel kit or something. I didn't ask too much.

He showed PhonePe screenshot. Mama said this is receipt.

Man said accounts will not take screenshot. They need a shop receipt with stamp look.

Mama looked at me. I am the Jaipur boy who live on phone.

Payment received on UPI, what actually happened

I opened payment receipt on BillOnDesk.

Received from, his name. Mode, UPI. Amount, 1450. For, charger and cover.

I put UPI reference number from the screenshot. Long ugly number. I typed slow.

Date 19 June 2023. Shop name of mama.

DRAFT on the page. I told the man, this is not GST tax invoice. This is payment receipt.

He said that is what accounts asked. Proof we paid your shop.

I printed on mama's old printer. Half the ink was brown. Still readable.

He went. Mama asked me, why screenshot not enough.

I said some offices are like that. They want your letterhead feeling.

UPI is money movement. Receipt is shop saying I got it.

Two different things. Like a train ticket and a hotel bill. Both papers, different job.

In March 2025 I still see this. Even more UPI. Even more screenshot fights.

A lady in my Jaipur shop paid 3,280 for a display. GPay.

She needed receipt for her husband company. They sent her to Rajasthan for work, phone broke.

I made payment receipt. Mode GPay. I asked her to forward the UPI SMS so I copy UTR.

If I guess the number, later mismatch. Don't guess.

She also asked GST bill. That is second paper.

Payment receipt say I received 3280.

GST draft say sale of display with tax break.

I don't mix both on one page anymore. I did in 2022. Title payment receipt, body GST columns. Messy.

CA friend said keep payment proof simple.

If they need tax invoice draft, use that tool. If they need received money, use receipt.

BillOnDesk is not GSTN. UPI is not GSTN. File tax on official portal at month end.

I only give customer a paper they can put in a file.

What to write when payment is UPI.

Write the name that paid, even if UPI name is different.

This is a real headache. Customer name Ramesh. UPI name is his wife's Paytm.

Accounts see Ramesh claim, money from Sunita.

I write received from Ramesh. In note I write UPI from Sunita number, if customer agree.

Some customers don't want wife name on paper. Then I write UPI and last 4 digit of number.

I don't fight. I write what they confirm standing in shop.

Write the item in one line. Don't write full IMEI story on a 199 rupee cable receipt.

Write amount same as UPI. If they paid 1450, don't write 1500 and say I will return 50 later.

Mama almost did that. Customer paid 1450, mama wanted round 1500 on paper.

I said no. Paper should match the app.

How I make the UPI payment receipt

If later someone compare, you look like a fool or a thief. Both bad.

If customer pay 2000 UPI for a 1450 bill, extra 550 is advance or mistake.

Ask them. If mistake, refund UPI. Don't swallow and write 2000 sale.

I saw a boy in Kota do that. Customer noticed at night. Bad review on Google. Shop name still suffering.

For COD type, this receipt is different. Here money already came.

Put mode as UPI. Not cash. People still write cash from habit. Then office check bank and get confused.

Put time if you want. I usually only date. Shop is not an airport.

Signature. Mama sign like a mountain. I type received by shop name.

Stamp. Mama has a round rubber stamp, 2016, address wrong now. He still uses. I don't argue.

I don't make government emblem. Not for UPI receipt. Not for anything.

One customer in Udaipur asked hologram on receipt. I said bhai this is 900 rupee earphone. No hologram.

He was watching too much YouTube.

If amount is big, like 42,000 phone, I still can give payment receipt plus invoice draft.

Two PDFs. Two jobs.

March 2025 a tourist paid 42,000 from a Mumbai UPI. He wanted receipt immediately for his company card team.

Network was slow. UPI pending. I did not make receipt till success.

Pending is not received. I told him wait.

He was angry. Then it failed. He paid again. Then success.

If I had printed at pending, I would have a receipt for money I don't have.

Wait for the tick.

Then copy UTR. Then payment receipt. Then print or WhatsApp PDF.

I also save the PDF in my phone folder named Bikaner-mama or Jaipur-shop.

If customer lose, I can send again. Same number, same date. Don't make a new date.

New date look like a new payment.

If they need duplicate, write duplicate copy on top with a pen. Or a note in the tool if I remember.

Mama now points at me when anyone say receipt after UPI.

I am not always in Bikaner. I told him the page bookmark.

He still call me. I still fill, because he type with one finger.

That is family shop.

If your customer pay UPI and then ask paper, don't send only screenshot.

Screenshot crop, fake apps, all that fear live in accounts office.

A simple receipt with name, amount, mode, date, UPI ref, shop name. That calms them.

Don't over legal language. Don't write hereby whereas.

Write, received 1450 by UPI for charger and cover. Thank you.

If they need GST draft, make that separate and tell them it is draft.

Don't teach anyone to show UPI as GST paid to government. That is not how it works.

UPI to shop is not GST filing.

I file through CA. Official portal.

The KEM Road man, later he bought a memory card also. 550. Same UPI habit. Same receipt ask.

Second time it took me four minutes. He said you became fast.

I said summer in Bikaner make everyone fast, or they melt.

He laughed. Paid. Left with a paper that was not a screenshot.

Mama gave me cold lassi. That was my fee.
