Gmail the pdf quotation

23 August 2025 a purchase desk in Beawar, cement factory side, asked quotation for 20 power banks and 10 earphones.

I made it on quotation maker. Valid till 30 August. Items. Total. DRAFT / ESTIMATE.

I sent on WhatsApp. Fast. I always do WhatsApp.

They said not received. I sent again. They said file is like a photo, we cannot put in our system.

WhatsApp compressed. Or they saved as image. Purchase desk want a PDF that open in a computer.

They said, Gmail it.

I have Gmail. I don't live in Gmail. I live in WhatsApp.

I downloaded the PDF from the tool on my phone. I opened Gmail. I attached. I put subject, Quotation 20 power bank, shop name, date.

I sent to the email they wrote on a paper, ugly handwriting. I typed wrong, mail bounce.

I called. They spelled email slow. Second send. They opened. They said okay.

I still send WhatsApp as a copy. Desk need Gmail.

May 2026 I do both without asking, if the customer look like a factory.

I write that so their CA don't think I filed something.

Attach the PDF. One file. Not 6 photos of the paper from different angle. I did photos once. They hated.

PDF is small. Photos are heavy. Their office net is also tired.

I don't send from a friend Gmail. I send from mine. So they can reply.

Reply they did. Rate of power bank high. I made new quotation, new number, new mail. I don't edit old PDF and send same file name.

File name I keep Q-BWR-014-powerbank.pdf. Next is 015.

If I send 014 twice with different rates, their download folder is a fight.

New number. New file name. Mail say, ignore previous.

Purchase uncle said thank you for ignore previous. He is tired of shops sending same name.

I don't CC ten people unless they ask. They asked CC to stores@ and purchase@. I did. I don't CC the owner for fun.

Owner get angry with mails. Purchase get paid to read mails.

Gmail from phone, attach, sometimes I attach a old PDF from downloads. Wrong. I sent a July rent receipt to the factory by mistake.

I called, please delete. Shame. They laughed. I didn't laugh.

Now I check the file name before send. Q-BWR. Not rent. Not INV.

Tab of the tool I keep open until mail is gone. Then I save PDF in a folder Quotations-Beawar.

If they say, send again, I don't remake if nothing change. I attach same file. Same number.

If rate change, remake.

WhatsApp I still send a message, I have mailed, check spam.

I tell them, look spam. Cement factory spam is a jungle.

I don't use a fancy letterhead photo as background. PDF stay readable. Background eat toner and Gmail preview.

I put my Gmail and my phone in the mail footer. If they bounce, they can call.

Don't send the quotation as a Google drive link I don't understand. Attach.

Don't send ZIP. Their computer uncle fear ZIP.

How I make the quotation on this site

If two, quotation and a catalogue, I say, two files, quotation and extra. Still not ZIP.

Hindi. They write mail in Hindi English. I reply English like the site. Short.

They confirmed 12 power banks not 20. I mailed a new quotation of 12. Then they PO. Then I invoiced.

Quotation, then order, then invoice. Gmail trail helped. They forwarded my mail to stores.

Stores didn't have WhatsApp of me. They had mail. Good.

If I had only WhatsApp, stores would be blind.

I tell other shop people in Beawar market, if amount is big, Gmail.

Big for me is above 10,000. Factory is always Gmail.

I don't do this from a cyber cafe if I can. Cyber cafe uncle send from his id. Then replies go to him. Mess in 2023.

Bus can wait 2 minutes. Empty mail cannot.

I look at the PDF open on phone, see the 20 qty, then attach.

Eyes. Then send.

Don't put the whole estimate story in the mail body. Body short. Paper has the lines.

If I type rates in body and PDF has other rates, they will use the cheaper one. I did that fight. Body said 1,199, PDF 1,249. They wanted 1,199.

Now body has no rates. Only attached.

I don't BCC random. I don't know BCC well. I don't play.

May 2026 the same factory asked again. Earphones. They said, same Gmail, same style.

I felt like a office vendor. I am still a mobile shop. But the mail is clean.

Clean mail get the PO. Dirty WhatsApp photo get a call, send again, send again.

I keep both. Gmail first for desk. WhatsApp, I mailed you.

If Gmail is down, I say, I will send in evening. I don't send a blur camera photo of laptop screen.

Wait. Then PDF.

BillOnDesk is not GSTN. Mail is not a filing. It is just a PDF travelling better than WhatsApp.

Factory paid. I made invoice later. Different paper. Different mail. Subject Invoice, not Quotation.

Don't reuse quotation mail for invoice. New thread. Or reply with new attach and clear subject.

I reply in same thread once, they missed. They thought it is still quote.

New mail. Invoice INV-BWR-088 attached. Quotation Q-BWR-015 closed.

If you sit in a town like Beawar, and a factory ask paper, don't only tick WhatsApp.

Download PDF. Open Gmail. Attach. Subject. Two lines. Send. Call. Check spam.

That is the work. Not fancy. It got my 20 power banks order, even when they cut to 12.

12 is also money. Gmail carried it.
